Equipment rental businesses have a problem most ERP systems were not designed for: the same asset is sold again and again, by the day or the hour, while it also needs servicing, transport and inspection. Standard Business Central handles sales, purchasing, inventory and finance well, but it does not include rental contracts or fleet availability. This guide lists the requirements to define before you choose how to fill that gap.
Fleet and asset records
- What is a unit of rental: a serialized asset, a quantity of identical items, or both?
- Which attributes matter: make, model, serial number, hour meter, location, certification dates.
- Do assets move between branches or yards, and does availability need to reflect that?
- Are some items sold as well as rented, or sold after their rental life?
Availability and booking
- Do staff need to see, in one view, what is booked, out on rent, returning today and available?
- How far ahead do customers book, and do you take tentative reservations?
- How should overbooking be prevented, and who can override it?
- Is delivery and pickup scheduled from the same information?
Rental contracts
- Contract types: short-term, long-term, rent-to-own, standby.
- Rate structures: hourly, daily, weekly, monthly, minimum charges, weekend rates.
- Extra charges: delivery, fuel, cleaning, damage, consumables.
- Deposits and how they are held and released. Decide early whether deposits are treated as prepayments, a liability account or another method agreed with your accountant.
Maintenance and inspection
- Preventive maintenance by calendar, hours used or rental count.
- Inspection on return before the asset becomes available again.
- Maintenance windows blocked out so assets can't be booked while they are due for service.
- Repair costs tracked per asset to understand lifetime profitability.
Invoicing
- Billing from the booking or contract, based on actual duration and usage.
- Billing cycles for long-term rentals, such as every four weeks or monthly.
- Partial returns and swaps during a contract.
- Credits for downtime caused by breakdowns.
Finance and reporting
- Utilization by asset, category and branch.
- Revenue and maintenance cost per asset.
- Fixed asset depreciation in Business Central alongside rental activity.
- Customer credit limits and collections.
Options for meeting these requirements
You can meet rental requirements in Business Central with a rental extension, with significant custom development, or by integrating a separate rental system. A separate system brings reconciliation work between two sets of customers, assets and invoices. A native extension keeps everything in one ledger.
Our own Equipment Rental Management extension for Business Central covers real-time availability, maintenance scheduling that blocks assets from being booked, and billing tied to booking duration and usage, all inside Business Central. Use the checklist above to test it, or any alternative, against your own scenarios.
