Document emailing and tracking, made easy.

Email invoices, statements, purchase orders and more from Finance & Operations, one at a time or in scheduled batches. Always know what was sent, when and to whom, with the exact PDF on file.

  • Original PDF archived
  • Every attempt recorded
  • AR and AP kept separate

Illustration shows example data.

Why it matters

Questions you can finally answer in seconds

  • “Did that invoice actually go out?”

Status and attempt history for every document, by company and type.

  • “Which PDF did the customer receive?”

The exact archived file, checksum and all, even after layouts change.

  • “Why did last night's batch skip three vendors?”

Batch runs reconcile eligible, queued, sent, failed and skipped counts, with the exceptions linked.

  • “Can we prove we sent it?”

A printable transmission record alongside the original PDF.

How it works

From posted document to proof of sending

  1. 1

    Select

From a source record, the eligible-documents list or a scheduled batch.

  2. 2

    Compose

Template and recipients resolved by your rules; preview before sending.

  3. 3

    Archive

The PDF is stored with a checksum before anything leaves F&O.

  4. 4

    Send

Queued and submitted by background workers, with controlled retries.

  5. 5

    Track and prove

Every attempt recorded; print a transmission proof whenever you need it.

Features

Everything you need to send, track and prove

  • Send one or many

Email a single document straight from its record, or select many eligible documents and queue them in one go. Each document gets its own email and PDF.

  • Scheduled batches

Rules pick up posted documents by company, type, date and customer or vendor group, then send on a schedule. Test the selection with a dry run first.

  • One central queue

Every message, its status, attempts and errors in one place. Hold, release, cancel, retry or resend, with checks that stop accidental duplicates.

  • The exact PDF, archived

The PDF is stored at the moment of sending with a SHA-256 checksum. Later layout or customer changes never alter what was sent.

  • Proof of transmission

Print a cover sheet with the recorded send details for any attempt, followed by the original archived PDF, unchanged.

  • Exception workbench

Failures and unknown outcomes land in one list to investigate, assign, correct the recipient with an audit trail, and retry.

  • Templates and recipient rules

Controlled email templates with approved placeholders, and rules that pick the right contact for each document type, with a fallback.

  • Reports and audit export

Who sent what, when, to whom and with what result, by company, document type and date. Export to PDF or Excel.

Clear statuses

Every document has an honest status

Statuses follow each message from selection to result. Unknown outcomes are quarantined, never blindly retried.

Not queued→Pending→Processing→
SentRetry scheduledFailedUnknown outcomeCancelled

Sent means accepted by your email provider. We never mark an email as delivered or read, so your audit trail only states what can be proven.

Security and audit

Five roles, with AR and AP kept apart

Built on native F&O security and legal-entity access. Customer documents never appear to vendor-side users, and vice versa, unless a role grants it.

  • All

    Administrator

Configures providers, templates, rules and retention; manages the queue across companies.

  • AR

    AR Administrator

Sends, schedules, retries and resends customer documents; views their PDFs and history.

  • AP

    AP Administrator

Does the same for vendor and purchasing documents.

  • AR

    AR View Only

Reads customer document status, history and PDFs and prints proofs. Can never send.

  • AP

    AP View Only

Reads vendor document status, history and PDFs and prints proofs. Can never send.

  • Attempt history can't be edited or deleted, by anyone
  • Resends are new attempts with a reason; the original stays intact
  • PDF views, prints and downloads are audited
  • Retention and legal hold set by administrators, with audit entries
FAQ

Questions about Document Email Management

Does "Sent" mean the customer received the email?

No. Sent means your email provider accepted the message. The add-on never claims inbox delivery or a read receipt, so your records stay accurate.

What happens if the result of a send is unclear?

It is marked Unknown and held back from automatic retry. Someone checks the provider logs, records the outcome, and only then retries if the message was not accepted. This prevents duplicate emails.

Can we resend a document that was already sent?

Yes, as an intentional resend with a reason. It uses the original archived PDF by default and creates a new attempt, while the original record stays exactly as it was.

Can our AP team see customer documents?

Not unless they also hold an AR role. Customer and vendor documents are kept apart in searches, counts, reports, exports and direct links. If someone has several roles, they get the combined access.

Does it replace F&O posting or approval workflows?

No. It sends documents once they are posted or approved through your existing F&O processes.

Which email service does it use?

It sends through the email provider you configure during setup. Credentials are kept in configuration and never shown in the application.

Is it available for Business Central?

This add-on is built for Dynamics 365 Finance & Operations.
