Business Central vs Dynamics GP: process differences

TSTech Sarwar team3 min read · Published October 31, 2026

Teams moving from Dynamics GP to Business Central often expect the same system with a new screen. Many concepts carry over, but several everyday processes work differently. Understanding these differences early makes training easier and avoids rebuilding GP habits that Business Central doesn't need.

Chart of accounts: segments become dimensions

GP uses a segmented account string, such as account-department-location. Business Central uses a main account plus dimensions. Instead of hundreds of account combinations, you keep a short chart of accounts and tag transactions with dimension values such as department, location or project.

This is usually an improvement: fewer accounts, flexible reporting and easier consolidation. It requires careful mapping during migration.

Batches become journals and documents

In GP, many transactions are entered in batches and posted together. In Business Central:

  • Sales and purchase transactions are entered as documents (orders, invoices, credit memos) and posted individually or in batches.
  • General journal entries use journal templates and batches, which feel familiar to GP users.
  • Recurring entries use recurring journals.

Posting setup

Business Central determines G/L accounts through posting groups on customers, vendors and items. Once set up, users rarely choose accounts manually for routine transactions. This reduces errors but means posting setup must be designed carefully.

Reporting

  • SmartLists are replaced by list pages with filters, saved views and analysis mode, and by Excel exports.
  • Management Reporter statements are rebuilt as financial reports (previously called account schedules).
  • Power BI connects directly to Business Central for dashboards.
  • Users can open almost any list in Excel and, with the right permissions, edit and publish data back.

Period close

  • GP's fiscal period closing is replaced by allowed posting date ranges and accounting periods.
  • Year-end close is a defined process that transfers income statement balances to retained earnings.
  • Month-end checklists remain your own; build them into your new routine early.

Cloud updates

GP updates were projects you scheduled. Business Central online receives major releases twice a year and smaller updates monthly. You test critical processes in a sandbox before each major release, but you no longer plan upgrade projects every few years.

Extensions instead of modifications

Customizations in Business Central are built as extensions that sit alongside standard code. Third-party add-ons are installed from Microsoft Marketplace. Many GP add-ons are replaced by standard features or by apps, so review each one rather than looking for a direct copy.

Payroll

Business Central does not include Canadian payroll as standard. GP payroll users need a payroll service or payroll app that integrates with Business Central.

Workflow and approvals

Business Central includes built-in approval workflows for purchase documents, sales documents, journals and master data, with notifications by email or in Microsoft Teams.
